Applications and AI assessment

We store your Discord username and user ID, timezone, availability, application answers, status, assessment and owner notes. Application answers, question rubrics and community guidelines are sent to OpenAI when AI marking runs. Discord identifiers and availability are excluded from that marking request. OpenAI's own API data policies apply. Requests use store:false; this does not promise zero provider retention.

Only the owner can view applications and private evaluations. Your private receipt reveals your status and owner-shared feedback. Keep it safe. The AI provides advisory scores and development feedback. The owner makes the final decision; this site cannot grant Discord roles.

Community forms, articles and role guides

RSCookiePie can publish official articles and forms. Article drafts and future releases stay private until their server-checked release time. Custom form answers, the original questions, submission time and response status are stored privately for the owner. Answers are never shown publicly. If a form has AI marking enabled, it discloses its provider (OpenAI or the owner’s connected Cookie Bot marking adapter) and selected questions before asking for explicit consent. Only selected answers, their questions and the rubric are sent for assessment. Email, website and date fields are excluded; avoid personal or sensitive data in assessed answers. Provider data policies apply. Rubric snapshots, assessments, development feedback and human review notes stay private. Automatic marking can run after submission; the owner can re-mark eligible answers and keeps up to 10 assessment runs. Earlier responses without the relevant AI consent stay available for human review. The owner can export or delete responses. Form recovery drafts stay in your browser until sent or cleared; avoid shared devices.

Staff recruitment and verified tenure

Ticket Support, Senior Ticket Support, Senior Moderator, Head of Moderation and Tickets Admin applications store your self-reported Discord details, availability, scenario answers, private assessments and owner review. Only scenario answers are sent to OpenAI for marking after consent. Promotion applications require owner-verified active ranks and original promotion dates from a private staff register, plus a hashed, single-use invitation bound to a member and a round. The site does not read live Discord roles. The owner checks identity and assigns any permissions separately. Staff records remain private while needed for eligibility; contact the owner to correct or remove a record. Expired invitation records are cleaned up during site activity. Application receipts reveal only status and feedback explicitly shared by the owner.

Gallery and reports

Gallery submissions include your artist credit, image, category and description. They appear publicly only after owner approval. Reports remain in a private owner inbox. Do not submit passwords, private contact details or sensitive personal information. Only share work you own or have permission to publish.

How long data stays

Applications, custom form responses, reports, audit entries and unapproved artwork are removed after 90 days during the next site activity. Approved gallery artwork remains until the owner removes it. The owner can delete individual applications and community items sooner.

Cookies and this device

Owner sign-in uses essential secure, HttpOnly cookies. A remembered owner session lasts up to 30 days and can be revoked. Hosted ChatGPT authentication may also use its own cookies. Cookie sessions belong to the hostname where you signed in; signing in on the custom domain is separate from the preview domain.

Your application draft, saved gallery favourites, studio preferences and cookie-notice dismissal are stored in this browser. They do not create a member account. Clearing site storage removes them. We do not add advertising cookies or analytics trackers.

Security and abuse prevention

We store hashed session and receipt tokens, never the raw tokens. Anti-spam counters use a salted hash of the request IP and are removed after two days of site activity. Your existing OpenAI key can be connected in the owner studio; it is encrypted on the server and never sent back to the browser. Keep a project-level API budget as an extra spending control.

Age and participation

Participants must be at least 13 and meet Discord's minimum age for their country. We do not request a date of birth. Moderation is a volunteer community role. You can participate in the creative studio without submitting an application.
